Job Description • AI / HubSpot Efficiency Lead • Hybrid working • UK-based, flexible working (London presence preferred but not essential). • 6 month contract (potential to extend) • Outside IR35 About the Organisation Working with a fast-growing, well-funded organisation operating at the intersection of climate, technology, and operational impact. Small and agile, we operate with the pace and ambition of a SaaS scale-up rather than a traditional NGO. With strong financial backing, we are building the operational foundation to scale globally and are looking for a hands-on AI / HubSpot Efficiency Lead to accelerate internal systems, workflow automation, and AI adoption; helping the organisation stay agile as it grows. Role Overview • This is a 6 month contract to deliver immediate impact across internal systems, with a focus on: • HubSpot CRM: finalising implementation, ensuring adoption, and integrating into business workflows. • AI & Automation: embedding tools such as Microsoft Copilot, ChatGPT, and Gemini into daily processes to drive productivity. • Internal Efficiency: streamlining workflows across Microsoft 365, JumpCloud, and other SaaS platforms. • This is not an IT support role; the focus is on strategic implementation and change management, enabling staff to use systems effectively and maximising value from existing tools. Key Responsibilities HubSpot CRM • Lead the rollout and optimisation of HubSpot across sales, customer success, and operations. • Integrate HubSpot with Microsoft Teams (calls, telephony) and other systems. • Build workflows, dashboards, and reporting that generate actionable insights. • Ensure HubSpot becomes the central system of record for customer and operational data. AI & Automation • Drive adoption of AI tools across the organisation (Copilot, ChatGPT, Gemini). • Identify opportunities to embed AI into workflows, reporting, and customer support processes. • Support the development of an internal AI strategy in collaboration with leadership. Internal Efficiency • Audit existing Microsoft 365 estate; improve structure, usability, and adoption. • Streamline device management with JumpCloud (zero-touch onboarding, Apple & Windows). • Improve file management and SharePoint structure to ensure accessibility and efficiency. • Reduce friction by consolidating tools and workflows across CRM, finance systems, and support tools. Change Management • Ensure successful adoption of new tools and processes. • Provide training, onboarding, and documentation for staff. • Act as the "internal champion" for system usage, efficiency, and best practice. Candidate Profile Must-Haves • HubSpot expertise: multiple implementations, able to configure, integrate, and optimise. • Microsoft 365 admin skills: including Power Automate, Power BI, Teams integrations. • Change management experience: driving adoption, training, and process redesign. • Hands-on mindset: able to deliver quickly and iteratively. Nice-to-Haves • Experience implementing AI productivity tools (Copilot, ChatGPT, Gemini). • SaaS workflow automation and system integrations. • JumpCloud (or similar MDM tool) experience. • Experience in scale-ups or fast-growing technology organisations.
