Role description
Position Summary The Controls & Reporting Lead is responsible for establishing, managing, and continuously improving the operational controls, performance reporting, governance visibility, and business intelligence processes supporting Facilities Operations and Site Services functions across Model T manufacturing facility. This role serves as the operational controls leader responsible for ensuring Facilities, Maintenance, Site Services, Utilities Coordination, Vendor Management, and related support functions operate with accurate, timely, and actionable visibility into performance, risks, issues, resource utilization, service delivery, and operational readiness. Working under the direction of the Operations Manager – Facilities, the Controls & Reporting Lead develops reporting frameworks, dashboard solutions, governance processes, KPI management programs, and executive reporting packages that support data-driven decision-making across the Facilities organization. The Controls & Reporting Lead partners closely with Facilities Operations, Maintenance Operations, Warehouse Operations, Manufacturing Operations, Digital Systems Integration, Safety Operations, Finance, and Program Leadership to establish a common operating picture for site support functions. This position plays a critical role in supporting site mobilization, workforce ramp, operational launch, and long-term operational maturity through disciplined controls management and performance reporting. Key Responsibilities Operational Controls Management Develop and maintain operational controls frameworks supporting Facilities and Site Services operations. Provide oversight for: • Performance management processes • Operational reporting standards • Governance controls • Data integrity processes • Action tracking • Issue management • Escalation management • Operational readiness tracking Ensure leadership teams have accurate and reliable visibility into operational performance. Reporting & Dashboard Administration Lead development and maintenance of facilities reporting solutions. Support creation of: • Executive dashboards • Operational scorecards • Facilities performance dashboards • Vendor performance reporting • Utility performance reporting • Service request reporting • Workforce reporting • Readiness reporting Provide leadership with timely and actionable operational insights. KPI, SLA & OKR Management Administer performance management frameworks across Facilities Operations. Monitor and report on: • KPI performance • SLA compliance • OKR attainment • Service delivery metrics • Vendor performance • Operational support performance • Readiness indicators Ensure consistent metric definitions and reporting methodologies are utilized throughout the organization. Operational Readiness Reporting Support site readiness and activation activities by developing readiness tracking and reporting mechanisms. Provide visibility into: • Workforce readiness • Facility readiness • Utility readiness • Workspace readiness • Vendor readiness • Operational launch activities • Critical milestone achievement Maintain a comprehensive view of operational readiness status and emerging risks. Governance & Meeting Management Support governance structures and operational review processes. Coordinate: • Weekly operational reviews • Monthly business reviews • Executive reporting cycles • Action item management • Decision tracking • Escalation tracking • Meeting preparation and facilitation support Ensure governance activities are documented and executed consistently. Action, Risk & Issue Management Manage operational tracking processes related to: • Action item registers • Risk logs • Issue logs • Dependency tracking • Escalation records • Corrective action plans Provide visibility into operational risks and support resolution efforts. Partner with operational leaders to ensure timely closure of assigned actions. Vendor Performance Reporting Support management of facilities service providers and vendors through structured reporting and visibility. Monitor: • Service delivery performance • SLA compliance • Contract performance • Work order completion • Response times • Customer satisfaction metrics Provide regular reporting to Facilities leadership and vendor stakeholders. Utility & Infrastructure Reporting Develop reporting related to facility infrastructure and utility support functions. Monitor: • Utility uptime • Utility interruptions • Infrastructure performance • Service requests • Facilities-related incidents • Energy utilization trends Ensure operational leaders have visibility into performance and emerging concerns. Systems & Data Integration Partner closely with the Digital Systems Integration organization to establish integrated reporting solutions. Support reporting from: • CMMS platforms • Service request systems • Asset management systems • SharePoint solutions • Power BI dashboards • Vendor reporting tools • Workforce management systems Ensure reporting data remains accurate, reconciled, and aligned across systems. Executive Reporting Support Develop executive-level reporting packages for leadership stakeholders. Prepare: • Executive summaries • Business reviews • Operational performance updates • Readiness reports • KPI scorecards • Risk summaries • Trend analysis reports Translate operational data into meaningful business insights and recommendations. Cross-Functional Coordination Partner closely with: • Facilities Operations • Site Services • Maintenance Operations • Warehouse Operations • Manufacturing Operations • Safety Operations • Digital Systems Integration • Program Leadership • Finance & Commercial Teams Facilitate alignment between support organizations and operational stakeholders. Long-Term Operational Maturity As operations mature: • Expand reporting sophistication • Implement reporting automation • Enhance predictive analytics • Improve controls maturity • Increase dashboard adoption • Enable executive decision support Support development of a data-driven operational culture.
