Role description
The Customer Data Maintenance / Entry Specialist is responsible for creating and maintaining accurate customer information across our ERP and related systems. You will work closely with Customer Service, Credit, and other internal teams to ensure timely and error-free data entry of new customers, pricing updates, promotions, and cross-references. This role also supports EDI processes by handling failed orders and maintaining customer/item mapping. Key Responsibilities Customer Setup & Maintenance • Create new customer records in the ERP system (e.g., LN) and update existing customer data (addresses, payment terms, etc.). • Collaborate with the Credit team to ensure accurate account setup and secure approval workflows. • Handle termination tasks (e.g., removing customer accounts or disabling user access) where necessary. Pricing & Promotions • Assist in uploading, updating, and verifying promotional pricing data. • Maintain off-invoice discounts through service request approvals and track changes for audit compliance. EDI Support • Manage customer/item cross-references for EDI transactions (purchase orders, invoices). • Investigate and correct failed EDI orders in LN, coordinating with cross-functional teams to resolve data or mapping issues. Data Entry & Quality Assurance • Ensure accurate and consistent data entry across various systems and databases. • Validate pricing, discounts, and cross-reference details to minimize billing errors and protect margins. Collaboration & Communication • Provide timely updates to Customer Service and other stakeholders regarding any changes or discrepancies in customer data. • Support the Data Management Manager by adhering to SOX controls and company data governance standards. Qualifications • Education & Experience: Associate degree in Business, Marketing, or a related field; or equivalent work experience. • Technical Skills: Proficiency in Microsoft Office (especially Excel); prior ERP experience (e.g., LN, SAP, Oracle) is a plus. • Attention to Detail: Demonstrated ability to enter large volumes of data accurately. • Collaboration: Strong communication and teamwork skills; comfortable working with cross-functional partners (Credit, Customer Service, IT). • Problem-Solving: Ability to investigate data discrepancies and propose solutions or escalate when necessary. What Success Looks Like • Customer records are created and updated promptly with minimal errors. • Pricing and promotional data are consistently accurate, reducing billing disputes. • EDI transactions flow smoothly, and failed orders are resolved quickly. • Positive feedback from internal stakeholders regarding data availability and accuracy.
