Role description
Position Title: Data & Document Management Analyst Location: New York, NY - Onsite Position Status: Contract Pay Rate: $35/hour (based on experience) Position Description We are seeking a Data & Document Management Analyst to join a Fortune 500 Utilities Company in New York, NY. This hybrid role offers an opportunity to contribute to data management, SharePoint administration, and process documentation across critical gas operations and engineering functions. The ideal candidate will combine strong technical proficiency with exceptional organizational and communication skills. This individual will manage databases and SharePoint sites, support document management systems, generate data visualizations and reports, and ensure compliance with relevant regulatory standards (PSC, DOT, OSHA). Candidates should be adept with MS Office 365, Excel macros, and SharePoint while being capable of working both independently and collaboratively in a fast-paced environment. Key Responsibilities β€’ Manage and update internal databases, SharePoint sites, Spark (AI platform), and other document management software. β€’ Develop and maintain reports, visual dashboards, and Excel macros to support gas operations and engineering teams. β€’ Ensure compliance with PSC, DOT, OSHA, and other regulatory requirements through document review and updates. β€’ Provide interpretation of specifications, procedures, and codes; support R&D projects and industry developments. β€’ Maintain network drives and file structures, ensuring organized access to technical documentation. β€’ Create, update, and document operational procedures for software and process workflows. β€’ Provide support to internal customers, train users, and facilitate the creation and revision of training materials. β€’ Collaborate with cross-functional stakeholders to address inquiries and support departmental initiatives. β€’ Conduct field observations when necessary to validate data accuracy and documentation practices. Required Skills & Experience β€’ Proven ability to manage and maintain SharePoint (Classic & Cloud-based) sites and document repositories. β€’ Proficiency in MS Office 365 Suite (Excel, Word, PowerPoint, Visio, OneNote, OneDrive). β€’ Experience writing and maintaining technical documentation, procedures, and compliance materials. β€’ Strong organizational and administrative skills with attention to detail and accuracy. β€’ Excellent verbal and written communication skills; able to interact effectively with all organizational levels. β€’ Ability to work independently, take initiative, and manage multiple assignments simultaneously. β€’ Experience with SQL, network drives, AutoCAD, Adobe Professional, and AI platforms (API, CES). Preferred Qualifications β€’ Experience creating or revising training documents and supporting internal users with system and process tools. β€’ Project Management experience or certification a strong plus. β€’ Familiarity with NAVEX/PolicyTech platforms preferred. β€’ Working knowledge of Federal, State, and Local gas regulations and PHMSA requirements. β€’ Strong analytical mindset with an ability to identify process improvements in data/document workflows.
