Role description
Job Title: Grants Administrator (Contractor) Durations - 8 month contract Position Summary We are seeking a detail-oriented Program & Data Operations Coordinator to support the Student Experiences Office within the ACS Education Division. This role plays a critical part in ensuring the accurate processing, tracking, and disbursement of grant funds across key programs such as Project SEED and the ACS Undergraduate Scholarship Programs. The ideal candidate will have strong data management experience, a high level of accuracy, and the ability to handle sensitive financial and program data with care. This individual will support administrative operations, payment processing, reporting, and workflow coordination to ensure efficient and compliant program execution. This position reports directly to the Assistant Director and collaborates with internal teams and external partners, including university bursars. Key Responsibilities Payment Processing & Financial Data Support โ€ข Assist with the secure processing and disbursement of grant/award funds โ€ข Review and validate banking and account information โ€ข Partner with internal teams and external stakeholders (e.g., university bursars) to ensure accurate and timely payments โ€ข Collect, verify, and enter sensitive financial documentation (W-9s, ACH forms, account details) while maintaining strict compliance and data privacy standards Data Management & System Support โ€ข Enter, maintain, and validate large volumes of data across production systems โ€ข Ensure data integrity and accuracy across multiple platforms โ€ข Support migration and quality assurance of historical program data into current systems Reporting & Documentation โ€ข Maintain and organize program records, reports, and documentation for audit readiness โ€ข Track program data and assist in preparing reports, dashboards, and summaries for internal stakeholders โ€ข Manage digital records including applications, resumes, correspondence, and review documentation Program Coordination & Operations โ€ข Attend team meetings and document notes, action items, and follow-ups โ€ข Assist with project timelines, deliverables, and workflow coordination across programs โ€ข Support overall operational efficiency and process documentation for Student Experiences programs Qualifications Experience Level โ€ข Entry to Mid-Level Required Skills & Experience โ€ข Experience handling sensitive financial, banking, or payment data โ€ข Strong attention to detail with a high level of accuracy โ€ข Experience with data entry, validation, and data management processes โ€ข Strong organizational and documentation skills โ€ข Excellent communication and collaboration abilities Technical Skills (Preferred) โ€ข PeopleSoft (accounts payable/receivable, grant financials) โ€ข Workday โ€ข Microsoft Office Suite โ€ข Content Management Systems โ€ข Salesforce or similar CRM platforms โ€ข Grant management systems โ€ข Survey tools (e.g., Qualtrics) โ€ข Basic data analysis or visualization tools Job Type & Location This is a Contract position based out of Washington D.C., DC. Pay And Benefits The pay range for this position is $30.00 - $35.00/hr.
