Job Title: Public Safety Planner

Job Description
The Public Safety Planner provides essential planning, scheduling, analytical, and administrative support within a project management environment. This role is responsible for developing and maintaining project schedules, supporting project managers, ensuring accurate documentation, and enabling efficient execution of public safety initiatives. The position requires strong technical skills, communication abilities, and experience managing complex projects.
Key Responsibilities
Scheduling
Develop, maintain, and optimize detailed project schedules using Microsoft Project and established Public Safety Program processes.
Coordinate resource allocation across multiple projects and initiatives.
Monitor schedule performance, identify risks, and recommend corrective action.
Prepare critical path analyses, milestone reports, 30-day lookahead schedules, and impact assessments.
Lead scheduling meetings and manage inter-team timeline dependencies.
Support Project Managers with milestone calendars, deliverable tracking, and meeting coordination.
Project Planning & Strategy
Define project approach, resource needs, roles, and responsibilities.
Develop project charters, scope documents, and deliverable lists.
Create and maintain project plans, communication plans, and risk logs.
Build and manage project schedules and timelines.
Support estimates and assumptions for effort, cost, and resource forecasting.
Coordinate site visits to gather information and align project requirements.
Assistant Project Management
Support Project Managers with project planning, execution, and monitoring.
Track deliverables, milestones, and performance metrics.
Facilitate communication between teams and stakeholders.
Assist in risk identification, mitigation planning, and documentation.
Help prepare project status reports, dashboards, and executive briefings.
Analytical Support
Conduct data analysis to support decision-making and identify performance trends.
Create and maintain dashboards, metrics, and KPIs using program software tools.
Perform trend analysis on schedules and timelines.
Generate analytical reports and visualizations to communicate insights.
Support forecasting and capacity planning activities.
Document Management
Establish and maintain document management systems and repositories.
Ensure version control, access permissions, and compliance with retention policies.
Coordinate review cycles, approvals, and audits.
Maintain templates, process documents, and standardized project materials.
Support regulatory compliance with required documentation.
Administrative Support
Support PMO functions including change requests, reporting, and scheduling.
Ensure all project artifacts are properly stored and maintained throughout the project lifecycle.
Mandatory Skills & Experience
Bachelorβs degree from an accredited institution.
Minimum 4 years of experience supporting medium to large-scale projects.
4+ years of Project Management experience.
Advanced proficiency with Microsoft Project.
Strong analytical, organizational, and problem-solving skills.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
Knowledge of Project Management principles and methodologies.
Experience with process improvement and organizational development.
Proficiency with SharePoint for document management.
Experience as a focal point for project management, financial, administrative, and technical coordination.
Proficient in MS Word, PowerPoint, Visio, and Project.
Demonstrated experience in project planning, scheduling, and managing complex dependencies.
Desirable Skills / Preferred Experience
PMP Certification.
Experience managing third-party service providers.
Background in data analytics, business intelligence, or process improvement.
SharePoint development experience.
