Change Request Management Advisor / Senior Advisor
Location: Pomona, CA
Hybrid Work Schedule: (On-site 1day per week & 1 week per month)
Job Summary
We are seeking a highly organized and detail-oriented Change Request Management Advisor / Senior Advisor to join our Project Management Office (PMO) team supporting the NextGen Program. In this critical role, you will serve as the primary point of contact for change control and request management, ensuring seamless intake, evaluation, and implementation of changes across the program. This position requires a proactive problem-solver with strong facilitation skills to drive efficient decision-making and maintain program momentum.
As a key contributor to the NextGen Programβa transformative initiative focused on modernizing our enterprise systems, you will collaborate with cross-functional stakeholders, including program leads, technical teams, and business units, to mitigate disruptions and align changes with strategic objectives. This role also includes serving as a backup for RAID (Risks, Actions, Issues, Decisions) process management, providing continuity and support during high-volume periods.
The ideal candidate brings proven experience in PMO environments, particularly in large-scale technology or ERP implementations, and thrives in dynamic, fast-paced settings. This is a full-time, hybrid position based in Pomona, CA.
Key Responsibilities
Change Request Management
Administer Change Request Intake: Develop and maintain a streamlined process for receiving, logging, and triaging change requests from stakeholders across the program. Utilize tools such as Jira, ServiceNow, or similar platforms to ensure all requests are captured accurately, categorized (e.g., by impact, urgency, or type), and assigned to appropriate reviewers.
Facilitate Change Control Meetings: Lead bi-weekly or ad-hoc change control board (CCB) meetings, preparing agendas, coordinating participant schedules, and ensuring productive discussions. Document meeting outcomes, decisions, and action items, while fostering consensus among diverse stakeholders.
Analyze Change Requests: Perform thorough impact assessments for each request, evaluating potential effects on scope, timeline, budget, resources, and dependencies. Conduct risk-benefit analyses, including cost estimates and resource requirements, to support informed decision-making.
Report on Change Statistics: Generate and distribute regular dashboards and reports on change request metrics, including volume trends, approval/rejection rates, cycle times, and post-implementation outcomes. Present insights to program leadership to inform process improvements and highlight potential bottlenecks.
RAID Process Support (Backup Role)
Assist in RAID Management: As a secondary resource, support the maintenance of the RAID log, including the identification, tracking, and resolution of risks, actions, issues, and decisions. Escalate critical items to program leadership and monitor mitigation plans to ensure timely closure.
Process Documentation and Training: Contribute to the development of RAID templates, guidelines, and training materials to enhance team adoption and compliance.
General Program Support
Collaborate with PMO team members to integrate change management practices into overall program governance.
Ensure compliance with enterprise change management policies, standards, and audit requirements.
Identify opportunities for process optimization, such as automation of intake workflows or integration with ERP systems.
Provide ad-hoc advisory support to program managers on change-related best practices.
Required Qualifications
Education: Bachelor's degree in Business Administration, Information Technology, Project Management, or a related field. PMP, CBAP, or equivalent certification preferred.
Experience:
5+ years in project management or PMO roles, with at least 3 years focused on change request management.
Proven track record in administering change control processes within a structured PMO environment.
Skills:
Strong analytical skills with the ability to assess complex change impacts using data-driven methods.
Excellent facilitation and communication skills, including virtual meeting management and stakeholder engagement.
Proficiency in project management tools (e.g., Microsoft Project, Jira, Confluence) and reporting software (e.g., Tableau, Power BI).
Solid understanding of change management frameworks (e.g., ITIL, Prosci).
Soft Skills: High attention to detail, ability to manage multiple priorities under tight deadlines, and a collaborative mindset to build trust across teams.
Preferred Qualifications
Experience supporting large-scale technology programs, ERP implementations (e.g., SAP, Oracle), or Supply Chain Execution (SCE) systems.
Hands-on experience in RAID management, including log maintenance and risk mitigation in agile or waterfall environments.
Familiarity with enterprise governance in regulated industries (e.g., finance, healthcare, manufacturing).
Advanced Excel skills for data analysis and visualization.
Master's degree or additional certifications (e.g., Certified Change Management Professional - CCMP).
