State Classified Hourly No Description of Work Unit
The Office of the Registrar provides leadership and service in student enrollment and academic record management that supports recruitment, retention, and graduation goals of Colorado State University. Position Summary
This position reports to the Academic Planning Software Manager. This position supports the campus community by coordinating with over 91 academic departments to schedule roughly 7000 course section offerings each term. This staff person, under the guidance of the Academic Planning Software Manager, continually determines solutions to problems by applying processes, techniques, and methods. This position makes decisions at the defined level determining what actions are needed to conduct the daily functions of the Curriculum, Catalog & Scheduling unit. This position processes technical input and coding items related to but not limited to: course restrictions, coding, building and editing sections, course conflicts, departmental inquires, final exam scheduling and coordination, evening exam scheduling and coordination and event scheduling.
This staff person works reports from several databases; corresponds with University academic departments; responds to and codes change requests to the semester class schedule; and provides service and support functions for faculty, staff, students and the public regarding policies, facility issues, building needs and class schedule queries.
This position will also provide depth to the Curriculum and Catalog team by reconciling CIM/Banner data; building courses in Banner; assisting with editing and publishing the General Catalog and updating data points at both the course and section level. In addition, this position will review course and program curriculum proposals in preparation for inclusion on the UCC agendas for weekly University Curriculum Committee meetings.
The successful applicant will be confident working in a technical environment and provide timely, accurate and friendly customer service.

• Provide training and customer service to departments on functionality of the CPI and CLSS and the class schedule build in general.
• Troubleshoot basic CLSS and EMS functionality and determine what issues need to be elevated for higher level Systems support.
• Follow up with departments as schedules are submitted to ensure needed information is received in a timely manner.
• Update course sections in Banner according to the changes requested by departments.
• Ensure requested changes comply with University policies and procedures (e.g. contact hour requirements, uniform time code, and minimum seat fill requirements).
• Implement the registration restriction system by determining and applying the accurate restriction codes for specific sections.
• Assign registration restriction codes in Banner and publish corresponding section text comments in the online class schedule (code in two places).
• Ensure restrictions are lifted according to restriction lift dates.
• Provide customer service to faculty, staff, students, and the general public regarding policies, facilities issues, building needs and class schedule queries.
• Work edit reports to ensure data in Banner is accurate, including: data matching between course and section, bad grade modes, contact hours, differential tuition attributes etc..
• Negotiate conflicts between departments wanting same room and same time, with same equipment requests.
• Respond to urgent, time sensitive requests for updates to class schedule after round 3 of the CPI is closed and before registration opens for the term. Updates must be made in both Banner and EMS.
• Identify open times in classrooms to support student success initiatives such as mid-semester courses.
• Identify mid-semester courses each term and hide them from the class schedule until the appropriate time and then open them for registration.
• Respond to requests for flipped classrooms and place faculty in most appropriate classroom based on pedagogical needs.
• Assist with special University initiatives such as Chem Prep and related AUCC holding courses, build summer shadow sections and manage enrollments, hide and open CO 150 sections through Ram Orientation etc.
• Relocate class sections for new construction and remodeling initiatives, emergencies, and high-level University priorities.

• Open and close CPI rounds.
• Assist with synching and publishing terms in EMS.
• Add new buildings and classrooms and ensure classroom information in EMS is up to date.
• Run reports each term to identify and update sections missing instructional formats for SURDS reporting.
• Partner with the Academic Planning Data Analyst to build out block schedules for special populations.
• Code Special Course Fees each term.
• Coordinate each term with the CSU Bookstore to receive and update open educational resources attribute on the class schedule.
• Responsible for complex scheduling duties including coordinating large events such as Ram Orientation, Ram Welcome and others.
• Oversee event scheduling timeline.
• Modify booking dates for general assignment classroom web process templates.
• Coordinate building unlocks and requests for services with Facilities Event Management office.
• Determine most appropriate general assignment classroom placement for events scheduled by academic departments and administrative offices.
• Provide customer service and basic trouble shooting for CLSS and Virtual EMS.
• Approve or deny events submitted via Virtual EMS and send email confirmations.
• Run final exam scheduling process in CLSS and EMS.
• Send departments confirmations of final exam schedule.
• Manually schedule final exams that were not automatically scheduled via EMS process. Coordinate Evening Exam schedules across departments and reserve classrooms for evening exams.
