Job Title: Administrative Associate/Data Analyst Location: Stanford, CA Duration: 3+ Months (07/29/2026 – 10/31/2026) Pay Rate: Up to $40/hr on W2 Schedule: Full-Time | 40 Hours/Week | Monday – Friday Job Summary Our client is seeking an experienced Administrative Associate 3 (Assistant Program Manager) to provide administrative, financial, and operational support for a research program. The ideal candidate will have extensive experience using the Stanford OBI (Oracle Business Intelligence) system and a strong understanding of university procurement, purchasing, travel, and reimbursement policies. This role requires excellent organizational, analytical, and communication skills, along with the ability to manage multiple priorities while collaborating with faculty, students, vendors, and internal stakeholders. Key Responsibilities • Utilize Stanford OBI (Oracle Business Intelligence) for financial reporting and data analysis. • Prepare, process, and track purchase orders for research-related supplies and equipment. • Coordinate classroom and meeting room reservations for students and research activities. • Process reimbursements for the Principal Investigator (PI) and research team, ensuring compliance with university policies. • Coordinate travel arrangements and expense documentation following university procedures. • Liaise with vendors to arrange services, resolve issues, and ensure timely delivery of products and services. • Maintain compliance with university procurement, purchasing, and travel policies. • Update and maintain the program website with announcements, events, and other relevant content as needed. • Provide administrative and operational support for ongoing research activities. • Communicate effectively with faculty, researchers, students, vendors, and internal stakeholders. Required Qualifications • Bachelor's degree required. • 3+ years of administrative experience in a university or higher education environment. • Extensive hands-on experience with Stanford OBI (Oracle Business Intelligence). • Strong knowledge of university procurement, purchasing, reimbursement, and travel policies. • Experience creating and managing purchase orders. • Excellent analytical, organizational, and problem-solving skills. • Strong verbal and written communication skills. • Proficiency with Microsoft Office Suite and standard administrative tools. • Ability to manage multiple priorities in a fast-paced environment. Top 3 Required Skills • Extensive experience with Stanford OBI (Oracle Business Intelligence). • Strong understanding of university procurement, purchasing, reimbursement, and travel policies. • Excellent communication and stakeholder management skills. Preferred Qualifications • Experience supporting research programs or academic departments. • Experience updating websites or managing web content. • Experience supporting Principal Investigators (PIs) or research teams.
