Role description
OVERVIEW We are currently searching for a skilled professional to join a well-known client’s team as a Data Coordinator II in Santa Clara, CA. The Data Coordinator will support laboratory operations by managing calibration records, coordinating vendor services, and maintaining asset data systems. This role is critical to ensuring equipment compliance, data integrity, and operational efficiency within a regulated environment, making it an excellent opportunity for detail-oriented professionals in the life sciences industry. RESPONSIBILITIES • Administer calibration program activities, including issuing recall reports for precision measurement and test equipment • Initiate and track quality investigation records for out-of-tolerance instruments • Coordinate service scheduling between external vendors and internal stakeholders for onsite calibration and maintenance activities • Maintain and update electronic and physical calibration records for laboratory instruments and equipment • Review and process calibration, commissioning, and validation documentation for accuracy and compliance • Perform data entry and management within asset management systems (e.g., Blue Mountain RAM, SAP, ASPIRE) • Generate routine calibration and maintenance status reports and dashboards • Induct and track assets across multiple asset management platforms • Manage shipping, receiving, and tracking of laboratory instruments sent to external vendors for calibration • Track purchase orders, costs, and related metrics associated with calibration and maintenance activities • Escort external vendors within controlled laboratory environments as required • Support internal and external audits by providing accurate documentation and records • Contribute to projects involving data analysis, KPI tracking, dashboard creation, and reporting • Perform additional administrative and operational tasks as assigned EXPERIENCE Minimum of 5+ years of experience in biopharmaceutical, biotechnology, or medical device industry required Experience with asset management systems (e.g., Blue Mountain RAM, SAP, or similar) highly preferred Experience supporting calibration, qualification, or laboratory instrumentation processes preferred Experience with data tracking, reporting, and KPI development preferred EDUCATION Minimum of an Associate’s or Bachelor’s Degree in a scientific, technical, or related field required To be a best-fit your strengths must include: • Strong organizational skills with the ability to manage large volumes of data and documentation • High attention to detail and commitment to data accuracy and compliance • Proficiency in Microsoft Office (especially Excel) and Google Suite (e.g., Google Sheets) • Strong written and verbal communication skills • Ability to coordinate across multiple stakeholders, including vendors and internal teams • Ability to manage multiple priorities in a fast-paced, regulated environment • Analytical mindset with the ability to track, interpret, and report data trends • Familiarity with laboratory operations and equipment management processes Full-time employees are also eligible for benefits options such as health coverage, life insurance, disability insurance, and 401k benefits.
