Role description
Overview thepropertymanager.ai is a growing community of 4,000+ property management professionals across the UK (A subpublication of Latestly AI 45,000 subscribers). We help property operators become more efficient by using automation and AI to remove repetitive admin and streamline key workflows. We’re now launching a Data & Automation Audit service: a focused, 3-week engagement that gives property managers a clear roadmap of where automation will deliver the biggest impact. We’re looking for an experienced Lead Consultant to deliver these audits end-to-end — leading client discovery, mapping workflows, and producing actionable automation roadmaps (supported by a freelance data analyst). Purpose of the Role You’ll be the client-facing lead responsible for: • Understanding how each property management business currently operates (people, tools, processes, data). • Identifying automation opportunities and quantifying time/cost savings. • Turning findings into a clear 3-month roadmap of high-ROI automation initiatives. • Presenting recommendations and helping shape follow-on pilot projects. Audit Structure & Timeline Each audit runs for 3 weeks, following a clear, repeatable framework: Week 1 – Map the Operating System • Lead stakeholder interviews across key functions (leasing, maintenance, finance, renewals). • Document the client’s People, Tools, Processes, and Objects (the core of their operating system). • Map 5–10 workflows and highlight major pain points and manual work. • Work with a data analyst to gather baseline metrics (volume, time, error rates). Output: Operating System Map + baseline metrics summary. Week 2 – Identify Automation Opportunities • Apply the Time × Frequency Matrix to pinpoint high-effort, high-volume tasks that are strong automation candidates. • Build one Journey Map for a core process (e.g. leasing or maintenance) and highlight automation opportunities across steps. • Quantify time or cost savings with analyst support. Output: Opportunity list with estimated ROI per workflow. Week 3 – Prioritise & Roadmap • Assess each opportunity by Impact, Effort, Alignment, and Synergy. • Select 3–5 “quick wins” for immediate pilots. • Produce a 6–8 slide Automation Roadmap presentation outlining next steps, estimated savings, and tool recommendations. Output: Final presentation and client playback workshop. Deliverables • Interview and data-collection notes. • Workflow maps and operating system summary. • Time–Frequency and Journey Map visuals. • Opportunity and prioritisation tables. • Final Automation Roadmap presentation deck (branded). Experience Required • 5+ years in operations consulting, process improvement, or business transformation, • Experience within: Property management or proptech, or • Proven experience mapping workflows and identifying automation opportunities (RPA, CRM, or AI-enabled processes). • Strong communication and client-facing skills; able to lead discovery sessions and translate findings into clear business cases. • Confident using visual tools (Miro, Lucidchart) and collaborating with analysts (Excel/Sheets, basic data dashboards). • Comfortable working independently with light central support; fluent in English (UK or South Africa preferred). Total = 15 hours work). • Typical fee: £450-700 day rate or fee per audit depending on experience and scope. • Remote, with availability for client sessions during UK hours. • Strong potential for ongoing work as the service scales.
