Job Title: M365 Governance and Resilience Lead Programmer Analyst
Lead Location: Mahwah, NJ (Hybrid)
We are seeking a highly organized and technically proficient Lead Programmer Analyst to lead and oversee ongoing operations, enhancements, and governance activities across Microsoft 365, ServiceNow, Rubrik, and related platforms.
Job Summary:
β’ The Lead Systems Programming Analyst leads the research, evaluation, design, development, testing, reporting, operational maintenance, protection, and support of Clientβs technology assets throughout the entire life cycle as it pertains to the M365 productivity and collaboration ecosystem, including but not limited to data sensitivity and data retention.
β’ They lead the research, analysis, design, implementation, maintenance, and support of storage and backup recovery solutions using Rubrik.
β’ The Lead Systems Programming Analyst is responsible for the research, analysis, design, implementation, maintenance, and support of an Information Services (I.S.) security model for Client's I.S. environments, specifically focusing on M365 SharePoint, Teams, and OneDrive. They perform strategic planning, diagnose risks and system issues, and take corrective actions to ensure continuity of operations.
β’ This position leads disaster recovery tests and identifies and implements technologies and processes to improve the reliability, efficiency, and availability of the environment.
β’ The Lead Systems Programming Analyst coaches team members by providing the tools and knowledge required for further development and frequently collaborates with the Principal Architect for M365.
Key Responsibilities:
1. Program Operations & Governance
β’ Lead ongoing service monitoring and joint program/governance team reviews.
β’ Lead reporting activities to identify service improvements and policy compliance using ServiceNow, and MS Purview along with other tools.
β’ Leads support activities for ITSM operations including Incident, Request, and Problem Management via ServiceNow.
β’ Manages the teams to resolve ServiceNow tickets, including root cause analysis and proactive remediation.
β’ Conduct quarterly ITSM reviews to assess process gaps, ticket volumes, and KBA accuracy.
1. Maintenance & Optimization
β’ Maintain optimal configuration of M365 security components.
β’ Identify continuous improvement initiatives for data sensitivity and retention policies.
β’ Ensure alignment with industry best practices and client standards.
1. Enhancements & Automation
β’ Lead support of new M365 services and releases within team capacity; manage change orders as needed.
β’ Identify and implement automation opportunities (e.g., license requests, Co-Pilot updates).
1. Training & Communication
β’ Develop communications and maintain reference materials (FAQs, guides).
β’ Update training modules annually across Data Sensitivity, Data Retention, and SharePoint End-User topics.
β’ Translate training into 20 languages annually with the clientβs global team review and approval.
β’ Provide quarterly updates to FAQs and job aids; develop two new job aids per master course annually.
1. Rubrik Platform Support
β’ Lead support of established backup and retention for SharePoint, Teams, Exchange, and OneDrive (E5 users).
β’ Review and optimize Rubrik configuration (retention, archival, replication, CDP).
β’ Provide incident support during business hours and on-call after-hours as needed.
β’ Coordinate with Rubrik professional services team for red-flagged incidents and ransomware alerts.
β’ Define thresholds for restore volumes and ELT alert resolution processes.
1. Reporting & Dashboard Development
β’ Lead development of automated dashboards for SharePoint, Teams, OneDrive, and Exchange health.
β’ Conduct annual dashboard reviews and updates.
1. Additional Projects
β’ Convert and update SharePoint Administrator training using Articulate Storyline.
β’ Split and translate Data Retention training into micro-modules.
β’ Support potential future projects including encryption, extended retention, automated recovery, and risk/compliance monitoring.
Required Qualifications:
β’ 7+ years of experience in program or project management within IT services
β’ Must have experience with M365, ServiceNow, Rubrik, and/or data governance tools (e.g., Purview)
β’ Experience with ITSM processes and reporting automation (Power BI, PowerShell, Azure)
β’ Familiarity with role-based access control (RBAC), Azure Active Directory, and Gen2/Synapse environments.
Highly Preferred Skills:
β’ Proven ability to manage training programs and multilingual content delivery.
β’ Excellent communication, stakeholder management, and documentation skills.
β’ Experience with Articulate Storyline or similar eLearning tools.
β’ Knowledge of data classification, retention, and compliance frameworks.
β’ Ability to lead cross-functional teams and manage vendor relationships.
