Key Responsibilities1. Portfolio and Programme Support
• Support the Portfolio Manager, Accountable Executive, and Project Managers in planning, monitoring, and controlling the portfolio, ensuring adherence to established governance standards.
• Ensure that the book of work remains within available capacity and resource levels, identifying risks or delivery challenges early.
• Act as a key interface between project delivery teams, Central PMO, and Project Governance to maintain delivery discipline and reporting accuracy.
1. Planview Management and Reporting
• Maintain up-to-date and accurate portfolio and project data in Planview, including financials, milestones, resources, dependencies, and RAID items.
• Drive consistent use of Planview across the portfolio, ensuring project teams follow reporting cadence and data quality standards.

• Oversee fortnightly Planview status updates, validating progress, financial data, and forecast accuracy.
• Develop MI and dashboards to summarise project health, benefits tracking, and delivery performance across the portfolio.
1. Governance and Delivery Control
• Implement and manage the PMO calendar, ensuring all governance checkpoints and assurance reviews are scheduled and completed on time.
• Coordinate assurance activities with central governance teams and ensure timely submission of documentation for executive or committee review.
• Review project deliverables for accuracy and compliance with lifecycle standards and provide structured feedback to project managers.
• Maintain document control processes for project artefacts, including storage, version tracking, and document quality review.
1. Financial and Resource Oversight
• Support portfolio financial management, including actuals, forecasts, and contingency tracking within Planview.
• Monitor and validate resource plans and allocations, highlighting gaps, surpluses, or utilisation concerns.
• Assist project managers with requisition handling, purchase order tracking, and invoice management.
• Ensure project financials are consistent with approved budgets and portfolio-level forecasts.

• Track actions to closure and escalate overdue or high-impact items to management.
• Generate and distribute regular MI reports, utilising data from Planview to provide clear portfolio performance insights.
1. RAID and Benefits Management
• Coordinate RAID management across projects and programmes, ensuring updates are captured and rolled up into central logs.
• Support the classification, escalation, and review of risks and issues across governance forums.
• Track benefits realisation and ensure timely updates from project teams and business sponsors.
1. Planning and Delivery Coordination
• Collaborate with Programme and Project Managers to support planning activities, including milestone management, dependency mapping, and critical path analysis.
• Facilitate impact assessments and “what-if” analysis in response to schedule or financial challenges.
• Coordinate portfolio-level planning reviews to maintain visibility of delivery timelines and dependencies.
1. Stakeholder Management and Communication
• Maintain clear and consistent communication with portfolio stakeholders, project teams, and governance functions.
• Provide concise and accurate summaries of portfolio status, risks, and performance metrics for senior management.
• Liaise with internal finance, assurance, and governance teams to align on reporting, budgeting, and audit requirements.
1. Continuous Improvement and Standards
• Partner with central PMO and governance teams to refine project management standards, templates, and reporting practices.
• Identify areas for process improvement and contribute to PMO-led initiatives focused on governance efficiency.
• Promote consistency across the portfolio by ensuring adherence to policy changes and audit action plans.
1. Ad Hoc and Development Support
• Support or manage small-scale projects under investment or BAU where required.
• Provide flexible support across the wider PMO team during absences or peak workload periods.
Skills and Experience
Required:
