Position Overview
The Project Controls Coordinator will provide general project support across scheduling, budgeting, documentation, and reporting functions. This role is responsible for ensuring consistent project control practices and accurate data management across multiple teams and systems β with a focus on using the Kahua project management platform to streamline processes, improve visibility, and support project execution.
The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally to keep project information current, accurate, and aligned with overall program goals. This role does not involve design review, field engineering, or site-level technical tasks.

Key Responsibilities
β’ Support the coordination and administration of project controls activities across multiple projects or programs.
β’ Maintain and update project documentation, schedules, and cost tracking tools within the Kahua system.
β’ Assist with project data entry, workflow management, and document control processes to ensure compliance with standards.
β’ Assist in baseline establishment and change control processes to support accurate project tracking and governance.
β’ Track project milestones, deliverables, and budget status; help identify variances and flag potential risks.
β’ Identify and assess risks and opportunities in schedule and cost performance, and coordinate mitigation actions with project teams.
β’ Generate and distribute periodic reports, dashboards, and performance metrics for internal and external stakeholders.
β’ Act as a liaison between project controls, project managers, contractors, and technical teams β including engineering, field, finance, operations, and contracts β to ensure accurate and timely exchange of information.
β’ Contribute to the continuous improvement of project control processes and documentation standards.
β’ Perform administrative tasks as needed to support project setup, closeout, and compliance requirements.

Platform Support β Kahua
β’ Provide day-to-day support to project teams on Kahua-related activities, including configuration, workflow setup, troubleshooting, permissions, and user training.
β’ Partner with project managers and stakeholders to optimize the use of Kahua for document management, cost tracking, reporting, and communication workflows.
β’ Assist with platform adoption and onboarding, ensuring that all users understand and follow established standards and best practices.
β’ Act as the primary point of contact for project team members on Kahua functionality questions and enhancements.
β’ Support continuous improvement efforts by identifying opportunities to streamline processes within the platform and coordinating with internal and external teams to implement improvements.

Qualifications
β’ Bachelorβs degree in Engineering, Construction Management, Business, or a related field (or equivalent experience).
β’ 2β4 years of experience in project coordination, project controls, or construction management support.
β’ Experience using Kahua (or similar project management systems such as Procore, Primavera, or Unifier) strongly preferred.
β’ Strong proficiency with Microsoft Excel, Power BI, and other reporting or data visualization tools.
β’ Excellent attention to detail, organizational skills, and ability to manage multiple priorities.
β’ Strong communication and collaboration skills with cross-functional teams.
