SharePoint Consultant - Legacy Data Migration & Site Configuration
We are seeking a SharePoint Consultant to lead the migration of legacy data from three Lotus Notes databases to a SharePoint Online (O365) site for document storage and processing. The metadata has already been extracted to Microsoft Excel and record attachments to SharePoint, so the consultant will focus on migrating this prepared data to the new solution location and configuring the site for optimal functionality. Due to the nature of the work you must be a US CITIZEN
Key Responsibilities
Migration:
β’ Migrate 1,945 records (1,225 attachments) from HMC Mfg Level 4 Documentation and 6,389 records (2,476 attachments) from Mfg Test Procedures to SharePoint Online, using pre-extracted metadata from Excel files and attachments from SharePoint.
β’ Archive Paperless Approvals data to a separate archive location.
β’ Ensure accurate transfer of metadata from Excel sources, using Last Modified Date if data is missing.
Site Configuration:
β’ Build a SharePoint Online site with main and archive repositories, classified as CUI.
β’ Implement folder-level or metadata-based permissions to restrict edits post-upload/approval.
β’ Enable document version history and 5-year review cycle tracking.
Workflows:
β’ Create workflows for document upload, review, approval, and archiving:
β’ Two-phase review (Phase 1: parallel review by roles like Mfg Eng, Quality; Phase 2: Trainer approval).
β’ Stipulation workflow with comment validation and resolution flags.
β’ Automate email notifications for reviews, escalations (60-day/10-day), and 5-year reviews.
β’ Allow notification subscriptions.
User Roles:
β’ Configure permissions for:
β’ Document Reader: Read-only access for users.
β’ Document Coordinator: Add, archive, revise documents, manage stipulation flags.
β’ Document Owner: Request revisions/archiving, review owned documents.
β’ Enable Coordinators/Owners to manage access and assign reviewers.
Reporting:
β’ Create dashboard views for overdue documents, open approvals, and inactive users.
Document Features:
β’ Enable documents to open in Microsoft Word (desktop/web) with an OPEN IN WORD button.
β’ Support categories/sub-categories (e.g., Best Practices, QAIs) and ensure current versions are online.
Qualifications
Experience:
