Job Title: Systems Tracker Coordinator
Location: Lebanon, IN (100% Onsite)
Duration: 12+ Months
Position Overview
We are seeking a highly organized and detail-oriented Systems Tracker Coordinator to support the Building Systems Status – Technical Completion and Commissioning Criteria (BSS-TCCC) turnover process for the LP1x Pep2 API manufacturing facility program. This role will serve as a centralized coordination and tracking resource, ensuring accurate real-time visibility into system completion, mechanical completion milestones, punch list status, turnover documentation, and overall program readiness across a large multi-building pharmaceutical manufacturing campus.
The ideal candidate will have strong experience in construction systems tracking, turnover coordination, document control, and reporting within large-scale industrial or capital construction projects.
Key Responsibilities
Develop, maintain, and manage a centralized systems tracking database covering Mechanical, Electrical & Instrumentation (E&I), CSA, and Equipment systems across the LP1x Pep2 campus.
Track and report system completion status, Mechanical Completion (MC) milestones, Technical Completion and Commissioning Criteria (TCCC) progress, and Certificate of Occupancy (CO) readiness.
Maintain visibility into AWP (Area Work Package), CWA (Construction Work Area), and IWP (Installation Work Package) progress in coordination with Fluor and trade contractors.
Monitor punch list activities across all disciplines, including issuance, ownership assignments, aging reports, and closure tracking.
Prepare and distribute weekly and monthly turnover progress reports for project leadership and the LEAD BSS-TCCC Turnover team.
Coordinate closely with Construction Systems Owners, discipline leads, and BSS-TCCC Coordinators to ensure system status information remains accurate and up to date.
Support the development and maintenance of Mechanical Completion roadmaps while tracking progress against the master project schedule.
Identify schedule risks, delays, and turnover gaps, escalating concerns to project leadership as needed.
Review contractor turnover packages and validate documentation completeness prior to system handover.
Maintain document control for turnover-related records, including as-built drawings, inspection packages, testing records, and Qualification & Validation Documentation (QVD).
Participate in coordination and turnover meetings, providing detailed status updates and tracking action items through closure.
Support executive-level reporting and dashboard development related to overall turnover and commissioning readiness.
Required Qualifications
5+ years of experience in systems tracking, project controls, document control, turnover coordination, or construction reporting within large capital projects or industrial environments.
Experience supporting mechanical completion, turnover, commissioning, or punch list management activities.
Strong proficiency with construction/project tracking platforms such as Procore, Primavera P6, Bluebeam, or similar systems.
Advanced Microsoft Excel skills with experience creating reports, trackers, and dashboards.
Strong organizational and communication skills with the ability to manage large volumes of complex project data.
Ability to create concise executive summaries and communicate project status effectively to leadership teams.
Experience coordinating across multiple disciplines and contractors in fast-paced construction environments.
Preferred Qualifications
Familiarity with AWP, CWA, and IWP construction work packaging methodologies.
Experience supporting pharmaceutical, biotech, GMP-regulated, or API manufacturing facility projects.
Knowledge of turnover, commissioning, qualification, and validation documentation processes.
Experience with SharePoint, Power BI, or other reporting/dashboard tools.
OSHA 30 Certification preferred.
