Role description
TITLE: Workflow Specialist & Implementation Coordinator - Process Automation
We're implementing AI-powered automation for our clients. You'll be the bridge between business users and our development team, while also building smaller automations to deliver quick wins.
YOUR ROLE:
PRIMARY RESPONSIBILITIES:
- Support our Senior Automation Engineer on complex projects (research, testing, documentation)
- Build and deploy smaller automation projects independently (email templates, notifications, simple workflows, data routing)
- Document current workflows and pain points across all departments
- Translate business needs into technical requirements for larger projects
- Test and validate automation solutions before deployment
- Train users and create support materials (video tutorials, SOPs, troubleshooting guides)
- Monitor deployed systems and gather improvement feedback
- Act as day-to-day client liaison and success manager
AUTOMATION WORK (40-50% of role):
You'll own smaller automation projects end-to-end:
- Email routing and auto-responses
- Notification systems and reminders
- Simple data transformations and validations
- Teams bot responses for common queries
- Report generation and scheduling
- Form automation and data collection
- Integration of simple webhooks and APIs
For larger projects, you'll support the Senior Engineer by:
- Gathering detailed requirements from stakeholders
- Testing complex workflows in staging
- Creating user documentation
- Handling revisions and edge cases
- Monitoring production performance
REQUIRED:
- Strong written/verbal communication skills
- Experience with process documentation and SOP creation
- Basic technical aptitude with ability to learn quickly
- Hands-on experience with at least one no-code/low-code automation tool (n8n, Zapier, Make, Power Automate, or similar)
- Can read and understand basic logic flows (if/then, loops, conditions)
- Project coordination experience
- Customer success mindset
- Available during US business hours (Pacific or Mountain time zones preferred)
- Self-starter who can work independently
IDEAL/BONUS:
- n8n experience (strongly preferred)
- Based in Boise, ID area or Western US (can visit client on-site occasionally)
- Experience in supply chain, logistics, ERP systems, or construction industry
- Basic understanding of APIs and webhooks
- Experience training non-technical users
- Background in operations or process improvement
- Comfortable with Google Workspace and Microsoft 365
TECHNICAL EXPECTATIONS:
- You can build a multi-step n8n workflow with conditional logic
- You understand data mapping and transformations
- You can troubleshoot why an automation isn't firing correctly
- You can read API documentation and implement simple endpoints
- You're comfortable with JSON and basic data structures
- You know when something needs the Senior Engineer vs. when you can handle it
DELIVERABLES:
- 3-5 small automation projects deployed monthly
- Complete workflow documentation library
- User training materials (video tutorials, written guides)
- Weekly progress reports and user feedback summaries
- UAT results and optimization recommendations
- Support documentation for all deployed automations
WHAT SUCCESS LOOKS LIKE:
- Month 1: You've documented all workflows and delivered 2-3 quick win automations
- Month 3: Users are coming to you with automation ideas, you're building solutions independently
- Month 6: You've freed up 10+ hours/week across departments with your automations
- Month 12: You're a trusted advisor to the client and can handle 70% of requests without escalation
WORK ENVIRONMENT:
- Remote position (occasional on-site visits if local)
- ~30-35 hours per week
- Flexible schedule but must be available for weekly syncs
- Fast-paced environment with multiple stakeholders
- You'll work closely with our Senior Automation Engineer
- Direct client interaction - you're the face of the project
RATE: $3,000/month (contract, 1-year commitment with 1-month trial period)
