Job Title: Project Administrator
Job Description
The Project Administrator supports a global Building Requirement Sheet (BRS) program that manages building requirements and specifications across multiple regions, including North America, Europe, Latin America, Australia, and others. This role helps coordinate the end-to-end lifecycle of BRS creation, development, scheduling, and approval, using structured stage gates from Stage 0 through Stage 3. The position focuses on consolidating diverse stakeholder inputs, maintaining accurate documentation, and supporting program management activities to ensure effective site selection, process design, and realistic project timelines for both new and existing fulfillment centers.
Responsibilities
• Support the BRS program by coordinating the development and management of building requirements and specifications across global regions.
• Prepare weekly and monthly program reports and maintain dashboards to track key performance indicators, milestones, and risks.
• Review, annotate, and update PDFs and project documents while ensuring version control, data accuracy, and alignment with BRS stages.
• Collect schedule updates from various teams and consolidate them into a master project schedule.
• Capture and distribute detailed meeting notes and track action items through to completion.
• Gather, validate, and organize data from stakeholders to support reporting, basic analysis, and decision-making.
• Maintain PMO trackers, logs, and templates to support process adherence and cross-team coordination.
• Assist with document control activities, including managing revisions, ensuring proper filing, and supporting ECO and RFI documentation as needed.
• Consolidate a wide range of inputs such as dock door counts, parking capacity, storage types, throughput, product mix, labor planning, and building/site specifications into structured BRS documents.
• Support consistency and clarity throughout the project lifecycle by helping manage BRS stage gates from Stage 0 (pre-template) to Stage 3 (as-built).
• Engage with stakeholders across functions to secure timely and comprehensive inputs that align requirements with final deliverables.
Essential Skills
• Moderate program management experience across programs, BRS, portfolio, or PMO environments.
• Proficiency with business intelligence tools and data handling, including working with data sources and creating reports in PDF and Excel formats.
• Strong Excel skills for data management, reporting, and basic analysis.
• Demonstrated experience in BI reporting and dashboard maintenance.
• Strong stakeholder engagement skills with the ability to coordinate inputs and manage expectations across multiple teams.
• Proven ability to collect, validate, and organize data from diverse stakeholders.
• Experience in administration and data entry within a project or PMO environment.
• Experience in document control, including version control and accurate record-keeping.
• Ability to track and manage action items, risks, and milestones in a structured manner.
• Strong attention to detail and accuracy in handling project documentation and reports.
Additional Skills & Qualifications
• Experience in architecture and/or construction is a plus.
• Familiarity with engineering change orders (ECO) and requests for information (RFI) processes is beneficial.
• Experience working within a formal Project Management Office (PMO) or structured project management practice.
• Comfort working with complex building and site specification data, such as capacity, storage types, and throughput.
• Ability to work effectively in a fast-paced, highly innovative environment supporting large-scale programs for a global technology-focused organization.
• Strong written and verbal communication skills for preparing reports, meeting notes, and stakeholder updates.
• Organizational skills to manage multiple trackers, logs, templates, and documentation streams simultaneously.

This is an on-site role based in downtown Tempe, Arizona, working five days per week in a professional office environment. You will operate within a structured Project Management Practice that emphasizes employee engagement, professional development, and strong partnerships.
