Business Analyst – Hyland OnBase Migration
The Business Analyst will support the delivery of a major ECM modernization initiative that migrates a complex, multi-layered SharePoint 2016 environment to Hyland OnBase. This role focuses on understanding business needs, analyzing current content structures and processes, and translating requirements into actionable specifications for design, configuration, and migration activities. The analyst will partner closely with business stakeholders, technology teams, and governance leadership to ensure data integrity, metadata alignment, content lifecycle compliance, and improved user experience throughout the transition.
Key Responsibilities:
• Conduct detailed requirements gathering sessions with business units to capture functional needs, document workflows, retention rules, content hierarchies, security models, and integration expectations.
• Perform comprehensive assessment and mapping of existing SharePoint content including libraries, deeply nested folder structures, metadata, permissions, workflows, and customizations.
• Analyze current and future-state business processes to transition users from folder-based navigation to metadata-driven classification and search.
• Develop and maintain user stories, business requirements documentation (BRD), process maps, data mapping artifacts, and acceptance criteria aligned to OnBase capabilities.
• Collaborate with architects, ECM SMEs, risk partners, and developers to drive solution design that meets compliance, audit, information security, and operational requirements.
• Support content migration planning including prioritization, data cleansing, quality checks, remediation, and user acceptance.
• Facilitate UAT including test planning, script development, defect tracking, and stakeholder signoff.
• Participate in governance and taxonomy discussions ensuring consistent application of metadata standards, access controls, and retention policies across the platform.
• Support change adoption with stakeholder engagement, training content input, and demonstrations.
Required Experience:
• Proven background as a Business Analyst supporting ECM solutions with direct exposure to Hyland OnBase capabilities.
• Experience analyzing and migrating content from SharePoint 2016 including complex structures and workflows.
• Ability to translate legacy processes into improved and automated OnBase configurations.
• Work experience in highly regulated environments, preferably Banking or Financial Services.
• Knowledge of data governance, retention management, and digital content compliance.
• Strong communication and facilitation skills with influence across business and IT stakeholders.
Preferred Skills:
• Familiarity with OnBase Unity Client for end-user interactions and process validation.
• Knowledge of OnBase modules such as Workflow, WorkView, Document Imaging/Capture, or Application Enabler.
• Understanding of integration patterns with enterprise platforms such as Salesforce, nCino, and core banking solutions.
• Exposure to structured data migration methodologies and tools.
