IT Outlook Data Migration Specialist

We are seeking an experienced Microsoft Outlook data specialist to consolidate many years of email into one complete, validated, master Outlook email dataset containing all unique emails from both POP and IMAP eras, and deploy identical working copies to both laptop and desktop computers, with no data loss. Current situation: 20+ years of emails originally downloaded via POP (stored in multiple PST files) 2022 migration to IMAP At time of migration, all existing PST files were archived locally Multiple PST and OST files from: desktop computer, laptop computer, external backups Subsequent efforts to synch across devices resulted in unknown overlap and duplication between files and missing emails Goals: Identify and inventory all PST and OST files located on laptop, desktop, servers, NAS, iPhone, external backups, and old hard drives. Merge all unique emails into one master Outlook dataset Preserve: folder structure, sent/received dates, attachments, read/unread status (where possible), other metadata Remove or clearly manage duplicates Recover missing emails from previous copies of hard drive Save backup copy to the NAS and create identical Outlook configurations with access to all emails on laptop and desktop. Requirements: Deep experience with Outlook PST/OST architecture Understanding of POP vs IMAP behavior Experience merging large mailboxes safely Strong backup and validation discipline Ability to explain what was done and why Experience handling confidential and regulated data, applying strict access controls, and following secure backup and validation procedures Data integrity is more important than speed. We expect a cautious, documented approach. This engagement requires handling of sensitive historical communications, including potentially regulated personal information. Where applicable, you must be willing to execute appropriate confidentiality agreements and comply with HIPAA-related safeguards because Protected Health Information (PHI) will be encountered in the course of the work.
