Role description

This is an entry-level role designed for individuals seeking to build a career in project management within a dynamic engineering environment.
This role demands excellent organisational skills, attention to detail, and the ability to coordinate across multiple teams to achieve project milestones. The Projects Administrator will handle the data collection, analysis, and reporting aspects of project delivery, while also providing essential support to the wider Transformation Office.. They will support the team with project updates, documentation, and communication between departments.
The Projects Coordinator reports directly to the Senior Projects Engineer but will work closely with various internal teams including Supply Chain, R&D, Manufacturing, Quality and Finance, as well as liaising with external suppliers and contractors as necessary.
Key Responsibilities:
• Project Planning and Coordination: Assist in the development of project plans, timelines, and schedules. Coordinate with internal teams and external suppliers to monitor timely delivery of project components and flag if off track.
• Data Collection and Reporting: Gather and compile project-related data, ensuring accurate and timely reporting to support project tracking, budget management, and performance evaluation.
• Documentation Management: Maintain up-to-date project documentation, including drawing registers, manuals, timelines and progress reports. Ensure all project documents are properly filed and accessible.
• Budget Monitoring: Track project expenses and budgets, ensuring alignment with financial forecasts. Prepare financial reports and assist in budget adjustments as required.
• Financial Tracking: Meticulously track and report on capital expenditure (Capex)against approved budgets for a portfolio of projects, from small-scale investments to large, multi-year initiatives.
• Support for Procurement: Creation and tracking of project related purchase orders,ensuring correct budget allocation, payment terms adherence and delivery timescales are met.
• Planning and Administration: Support project teams in the development and maintenance of project plans, including creating and updating Gantt charts and managing task dependencies within Asana.
• Risk and Issue Management: Maintain the central risk and issue logs, ensuring all entries are up-to-date and accurately reflect the current status. Facilitate risk reviews and support project teams in tracking and reporting on identified risks.
• Steering Committee Documentation: Prepare and compile comprehensive project documentation for Steering Committee meetings, including consolidating status updates, creating clear and concise executive summaries, and developing professional presentations.
• Reporting: Generate regular project status reports for various stakeholders, highlighting progress against plan, key risks, issues, and budget performance.
• Compliance and Governance: Support the enforcement of PMO/TMO standards and governance frameworks, ensuring all project documentation and processes adhere to established guidelines.
